 Services & Pricing - Simple Event Hosting 

HOSTING FOR SIMPLER EVENTS:  What's Included when you host your party, dinner or other simple event at Heart of Rock Farm?

(Note:  because of the busy wedding season, we typically do not book Simple Events during the months of June thru September unless we still have vacant dates as summer approaches. )  

* Access to the Onion Barn Reception Hall.

* In good weather, access to the north lawn with lots of room for lawn games and outdoor activities.

New:  8-ft glass french doors lead to a huge 1200-sf deck facing Mt. Hood.  When the weather doesn't permit outdoor activities, the floor-to-ceiling glass panels still provide a beautiful view.

* 12x12 pavilion with bench seating for simple performances or speeches (outdoors).  

* Table Seating (tables and chairs) for up to 150 people in the summer months (June thru September), 120 in the cooler months (May and October) and 100 during the off-season months (Nov thru Apr).  (10-19 tables available.)  No need to set up tables & chairs or take them down afterward (unless some are used outdoors).  We’ll set them up for you before you arrive.    

* Catering prep area (not a full kitchen).  You have the option to work with our amazing house caterer (Flour Power Catering) or hire your own licensed, insured,  professional caterer.  

* 10-foot bar with double-tap kegerator and two wine refrigerators.  Provide your own soft alcohol -- no corkage fees.  Local beer & cider delivery is available. (Pre-approved OLCC server required.) 

* Rustic wine-barrel-&-plank-top buffet table.   

* Huge dance floor:  Up to 28-ft x 55-ft (1,540 sq ft).  (The size of the dance floor depends upon the number of tables needed.)

* Space for a band or DJ near the dance floor with excellent power support and good acoustics.  

* Huge disco/mirror ball above the dance floor.  

* Large screen TV for slide show or presentations. 

* Lectern (without mic).  (Optional PA services are available -- See the Options section below.)

* Edison-style string lights and neutral-color paper lanterns are hanging from the rafters.  (See the photo.)  The white lanterns include twinkling candles. 

* Use of the fire pit, which is encircled by rustic bench seating during favorable weather.  Edison-style bare bulb lighting adds ambiance in the evening.

* 3-stall luxury-style bathroom trailer with porcelain fixtures, flush toilets, running water, beautiful interior, heat/air conditioning, and music.  The waiting area is covered and lit.

* Meet with our Venue Coordinator to:
   -- budget your on-site time,
   -- plan for your outside vendors' needs, and
   -- plan the best use of venue space. 

* An on-site attendant is present throughout the event for venue-related support.  Optional event staffing is available.  

* We don’t require that you use specific vendors (catering, music, etc).  Choose your own (within guidelines) or we can recommend pros who have worked here before and provided an excellent service. 

* The barn is insulated and heated, perfect for off-season events.  For comfort during hot weather, we have excellent wind flow throughout the building, which formerly served as a drying barn.  Large overhead circulating fans draw the heat up and out in the summer or push it back down during the winter.   

* This package includes six hours onsite, including set-up/decorating, the event, and cleanup.  Additional time is $150 to $175 per hour, if needed, depending on the season.

Simple-Event Hosting Rates

 Rates are based on a 3-4 hour event, with one 1-2 hrs for set-up and one hour for take-down/clean up.  (So a 3-4 hour event would involve up to six hours onsite.)

WARMER SEASON (May thru October 2023) 

(Due to the busy wedding season, we typically don't book  Simple Events from June through September, unless there is a late cancellation.)  

6 hrs onsite: $2,000

additional time:  $200/hr

COOLER SEASON (November 2023 thru April 2024)

   6 hrs onsite:  $1,700

additional event hours:  $175/hr


WARMER SEASON (May thru October 2024) 

        6 hrs onsite: $2,200

additional time:  $200/hr

COOLER SEASON (November 2024 thru April 2025)

   6 hrs onsite:  $1,900

additional event hours:  $175/hr


Holiday Charge:  4th of July, Thanksgiving, Christmas Eve, New Year's Eve & New Year's Day.  (Other holidays are probably not available.)  


Optional Add-Ons
when you host your event at Heart of Rock Farm, you can add other services offered by Heart of Rock DJ and Parson Phil at a considerable discount over what we charge if we were working outside of our own facility.  In addition, our amazing house caterer, Erin at Flour Power Catering, offers special pricing for events held here.

Al a carte options:

House Catering Hire your own caterer our use our in-house services.  Catering provided by Flour Power Catering.  Special menu and pricing, including Cutting Cakes and Desserts, for events at Heart of Rock Farm.  

In-House Pro DJ Service Bring in your own band or DJ, or add Heart of Rock DJ (DJ Lisa) to your contract.  (Lisa has 20+ years experience as an event DJ.) 

  $550 - $950
depending on length of event and other details.

PA Hook-Up (DIY Music):  Connect your IPOD or laptop to our sound system.  Your music attendant will manage music and volume from your device and will not have direct access to the sound equipment controls.  (Music files must be stored on your device, not streamed.)  Microphone included for announcements.  Dance floor/disco lighting is also included.  (This option keeps you from having to rent, transport and set up your own PA system, microphone and lighting.)



Memorial and Remembrance ServicesOur own Parson Phil is available to conduct your service. 

Photo Booth:  4 hours, attended, open-style photo booth with props.  75-100 prints, including a custom print background, personalized with your message.  Fun for everyone, and perfect for creating keepsakes for yourself and your guests.  You'll get a digital copy of all photo files to take home.  

Quantity of prints can be increased for an additional fee.


Table Linens:  Full-size tablecloth and a runner or topper $16 per table*  ~or~
                            Shorter-length cloth (no runner or topper) $6 per table

                            Napkins (8 per table) $4 per table  

* Except in rare circumstances, we have a minimum of ten tables out per event so you would need a minimum of ten tablecloths.  Napkin count can be lower (to match a smaller guest count) if you are not planning to place napkins at the guest tables.


Table SettingsVintage-style mismatched china (or elegant clear glass) table settings are available for groups of up to 150.

   A:  Dinner plate & silverware, and dessert plate & fork (if needed):  $12 per table of 8
   B:  Salad or appetizer plates & forks:  $3 per table of 8 (china only)
   C:  Wine glasses (etched with romantic phrases) or Mason mugs:  $4 per table of 8
   D:  Gold-tone chargers:  $4 per table of 8

Dinner plates can be staged at the buffet table for rustic efficiency, or you can set your tables* for an elegant touch.  

You bus, we wash.

 (minimum charge $75)

Except in rare circumstances, we have a minimum of ten tables out per event; so you would need a minimum of ten tables-worth of dishes (10 x 8 sets) in order to set tables.  (Does not apply if dishes are staged at the buffet table.)


Event Staffing:  Staff support during the event to assist with bussing, emptying trash cans, etc. (reducing the number of volunteers you need).

We'd love to show you around and talk to you about your event.  We also host dances at Heart of Rock Farm about once a month, so be sure to ask about that.  It gives you a chance to see the building full of people and try out the dance floor.
